How to write a quote that wins the job

A clear quote sent fast beats a scribbled number sent late. Five things that make yours land:

1. Put your business up top

Name, phone and ABN tell the customer you’re real and contactable. Registered for GST? Show it as a line — but only charge it if you’re registered with the ATO.

2. Break the job into lines

Labour, call-out, parts, materials — separate lines show your value and let you adjust one part without redoing the quote. One lump sum invites haggling.

3. Ask for a deposit when it fits

A deposit — often 10–20%, or a fixed amount on bigger jobs — covers upfront materials and protects against no-shows. Set it on the quote so the customer agrees before you start.

4. Add a use-by date

A “valid until” date (30 days is typical) stops you honouring an old price, and nudges the customer to decide.

5. Make it easy to say yes

Do I need an ABN to send a quote?

You don’t need an ABN just to give someone a quote, but if you’re running a business you generally should have one, and showing it looks more professional. If you’re registered for GST, include it as a separate line.

How do I add GST?

Turn on the GST switch — the tool adds 10% on top of your subtotal and shows a GST-inclusive total. Only charge GST if your business is registered for GST with the ATO.

Can I ask for a deposit?

Yes. Add a deposit as a dollar amount or a percentage; the quote shows the deposit to secure the job and the balance due on completion. Make sure the customer agrees to it before the work starts.

How do I save the quote as a PDF?

Press “Save as PDF.” Your browser opens its print dialog — choose “Save as PDF” as the destination. On a phone you can share or save the PDF straight from there.
